What data do we collect?

Sente Security, LLC collects the following data:

• Personal identification information (Name, email address, phone number, etc.) submitted via web forms at https://sentesecurity.io or any of its subdomains (e.g. content.sentesecurity.io), as well as through email or telephone conversations as part of the sales process.
• IP address and browser metadata transmitted to our web servers when you visit our site.

How do we collect your data?

You directly provide Sente Security, LLC with most of the data we collect. We collect data and process data when you:

• Register online or place an order for any of our products or services.
• Voluntarily complete a customer questionnaire, provide direct feedback to us, communicate with us via LinkedIn, or share information with us as part of the sales lifecycle.
• Use or view our website via your browser’s cookies.

We do not receive or process your data through third party sources such as marketing or contact lists.

How will we use your data?

Sente Security, LLC collects your data so that we can:

• Fulfil the services described within an executed Statement of Work (SOW) with Sente Security, LLC. We must be able to contact you regarding invoices and other matters related to service delivery.
• Periodically email you with special offers on other products and services we think you might like, or to solicit your feedback via satisfaction surveys or questionnaires. You can always opt out of this!
• Detect fraud, abuse, and security incidents, to ensure the safety of our data and systems (such as our website).

When Sente Security, LLC processes your order, it may send your data to, and use the resulting information from, credit reference agencies to prevent fraudulent purchases. This happens as part of the payment process with our banks. When we process payments, we will provide only the data required to process the payment to the receiving financial institution.

How do we store your data?

Sente Security, LLC securely stores your personal information in several different ways:

1. As part of our bookkeeping platform, FreshBooks.
   • We use FreshBooks for general bookkeeping and accounting, including estimates, proposals, invoices, and project tracking. This means your contact information, including name, address, telephone number, and email, are stored within FreshBooks.
   • Our FreshBooks tenant is located within the European Union within a Google Cloud Platform (GCP) data center. FreshBooks describes their security policy and safeguards at the following site: https://www.freshbooks.com/policies/security-safeguards.
2. As part of our marketing platform, HubSpot.
   • We use HubSpot to provide periodic marketing communications to our clients, as well as to collect contact information voluntarily shared with us via HubSpot forms and landing pages. This means your contact information, including name, address, telephone number, and email are stored within HubSpot. We require an explicit opt-in for marketing purposes via HubSpot, and will not market to you unless you have provided express consent.
   • Our HubSpot tenant is located within the European Union. HubSpot describes their security policy and safeguards at the following site: https://trust.hubspot.com.
3. As part of our productivity suite, Microsoft 365.
   • We use Microsoft 365 to provide email and productivity services such as word processing and document management. This means Microsoft 365 services are used in the development of work products delivered to our clients, as well as for storage of documents shared with us by clients.

4. As part of our calendaring and scheduling tool, Calendly.
   • We use Calendly to schedule video conferences and telephone calls with prospects and clients. The information collected includes personal identification information such as name, address, telephone number, and email address, for the purposes of scheduling a meeting and sending meeting invitations.
   • Our Calendly tenant is located within the United States of America within a Google Cloud Platform (GCP) data center. Calendly describes their security policy and safeguards at the following site: https://calendly.com/security.
5. As part of our task management tool, Todoist.
   • We use Todoist to track and manage tasks for work projects and to schedule reminders about important tasks. We don’t place personally identifiable information into Todoist other than the names of companies or contacts we are working with for the purpose of understanding which tasks belong to which projects, or in the event that we want a reminder to follow up with a client about something they have requested.
   • Our Todoist tenant is located in Virginia, United States, at an AWS data center. Todoist describes their security policy and safeguards at the following site: https://todoist.com/security

Sente Security, LLC will keep your contact information, as well as any information related to payments or service delivery, for the duration of any contracts or retainers you have with us. After services have been delivered, we will retain your contact information only for marketing purposes – if consent is granted by you – until such time that you opt out of marketing communications.

All other data (for example, data you have shared with us to perform the services requested, such as schematics, work documents, internal policies, and processes, etc.) will be deleted within 90 days from the completion of service delivery, using the native tools available to us via the above platforms.

We periodically re-evaluate each of the data processors listed above for security and compliance, using documentation such as a SOC 2 type II, security and privacy assessment reports, vulnerability reports, and other documentation available to us, to ensure that service providers maintain acceptable levels of security and privacy assurance for data processed on behalf of Sente Security, LLC.

Marketing

Sente Security, LLC would like to send you information about services of ours that we think you might like. We use the platform HubSpot, as described in the above section, to manage our marketing contacts and communications.

If you have agreed to receive marketing, you may always opt out at any time using the links in email communications or web forms.

You have the right at any time to stop Sente Security, LLC from contacting you for marketing purposes.

We do not share your data with third parties for the purpose of marketing. If this practice changes in the future, we will provide you with a proactive, written update to this Privacy Notice.
